Set up your hotel on Hayya in minutes — from sign-up to taking your first reservation

Getting Started

Welcome to hotels هيّا! This guide walks you through setting up your hotel from scratch.

1. Create Your Account

Visit the signup page and provide your details. Our team will activate your account within 24 hours. You'll receive:

  • Your hotel's admin dashboard address
  • Your hotel's customer booking page address
  • Login credentials for the owner account

2. First Login

Log in to your admin dashboard using the credentials provided. The dashboard gives you access to everything: rooms, reservations, room service, inventory, and settings.

Staff Roles

Hayya supports several staff roles:

  • Owner — Full access to everything, including settings and staff management
  • Manager — Full access to daily operations, limited access to settings
  • Receptionist — Can manage rooms and reservations, cannot change settings
  • Kitchen — Kitchen display system only, for preparing room service orders

3. Configure Hotel Settings

Go to Settings in your admin dashboard. Here's what you can set up:

Hotel Information

  • Hotel name — Enter names in both Arabic and English
  • Description — Describe your hotel in both languages for your guests
  • Phone number — Enter in international format (e.g., +963...)
  • Address — Your physical address, shown on your booking page
  • Website — Link to your existing website (optional)
  • Google Maps — Link to your location on Google Maps (optional)
  • Logo & banner — Upload your hotel's images to personalize your booking page

Check-in / Check-out Times

Set your hotel's default check-in and check-out times. These are shown to guests when they book and used as defaults when you create reservations.

  • Default check-in: 14:00 (2:00 PM)
  • Default check-out: 12:00 (noon)

You can change these at any time from the Settings page.

Cancellation Policy

Write a clear cancellation policy that guests will see before booking. For example:

"Free cancellation up to 24 hours before check-in. Cancellations within 24 hours are charged one night."

Amenities

Select the amenities your hotel offers from the list. Available options include:

WiFi, Swimming Pool, Parking, Spa, Gym/Fitness Center, Restaurant, Room Service, Airport Shuttle, Breakfast, Air Conditioning, Heating, Elevator, 24-Hour Front Desk, Laundry, Pet Friendly

Just tick the ones that apply to your hotel — they'll appear on your booking page for guests to see.

Operating Hours

Set your front desk operating hours for each day of the week. You can mark days as closed or set custom open and close times.

4. Set Up Rooms

Rooms are the heart of your hotel. Go to Rooms in the admin dashboard to add and manage them. See the Room Management guide for full details.

Quick start:

  1. Click Add Room
  2. Fill in the room number, type, floor, maximum guests, and price per night
  3. Set the status to Available
  4. Repeat for all your rooms

5. Create Staff Accounts

Add your team members under Staff in the admin dashboard:

  1. Click Add Staff
  2. Enter their name, email, and phone number
  3. Select a role (owner, manager, receptionist, or kitchen)
  4. They'll receive their login credentials

Only owners and managers can create other staff accounts.

6. Generate Room QR Codes

Every room gets a unique QR code that guests scan to order room service. From the Rooms page:

  1. Click the QR icon next to a room
  2. Download the QR code image
  3. Print it and place it in the room — on the nightstand or desk works well

Guests scan the QR code, see your menu, and place orders directly from their phone. No app download required.

7. Go Live

Once you've completed setup:

  1. Preview your booking page — Visit your hotel's customer page to see how it looks
  2. Test a reservation — Make a test booking and verify it appears in your dashboard
  3. Test room service — Scan a room QR code and place a test order
  4. Share your booking link — Send your hotel's page link to guests

Your hotel is now live and accepting reservations and room service orders!
